How to Negotiate with Chinese Suppliers: 10 Tips for Better Prices

Negotiating with Chinese suppliers is different from negotiating in Western markets. Understanding the culture and approach can save you 10-30% on your orders.


1. Build rapport first

Chinese business culture values relationships. Take time for small talk before discussing prices. A video call or factory visit builds trust faster than emails.


2. Don't show desperation

If a supplier thinks you need their product urgently, they will not lower prices. Compare multiple suppliers and let them know you are shopping around.


3. Ask for multiple quotes

Request quotes from at least 5 suppliers. Use the lowest quote as leverage with your preferred factory: Factory A quoted 20% less. Can you match it?


4. Negotiate based on quantity

Suppliers expect volume discounts. Ask for price breaks at 500, 1000, 5000, and 10000 units. Even if you start small, knowing the ladder helps plan.


5. Focus on total cost, not unit price

A cheaper unit price with worse quality or longer lead time can cost more overall. Consider MOQ, packaging, shipping, and QC.


6. Be respectful, not aggressive

Chinese business culture values harmony. Yelling or ultimatums rarely work. Polite but persistent negotiation gets better results.


7. Use your sourcing agent

Agents negotiate daily and know the market price. We often get 5-15% better prices than first-time buyers because factories trust us.


8. Lock in terms in writing

Get price, payment terms, lead time, and quality standards in a formal PI (Proforma Invoice). Verbal promises mean nothing in China.


9. Offer larger deposits or faster payment

If you can pay 50% deposit instead of 30%, or accept T/T instead of L/C, many factories will give a few percent discount.


10. Don't negotiate forever

Suppliers who feel you are wasting their time may drop your priority. Be ready to commit when you find a good deal.
